Position Overview
The Destination Wedding Transportation Coordinator is responsible for planning, managing, and executing all ground transportation logistics for destination weddings and related group travel events. This role is operational, detail-driven, and deadline-sensitive.
Accuracy and follow-through are critical. This is not a sales role. It is a coordination and execution position that supports wedding couples, guests, and internal coordinators by ensuring transportation is booked correctly, communicated clearly, and executed.
Key Responsibilities
Transportation Planning & Logistics
Coordinate all wedding-related ground transportation, including airport transfers, resort transfers, off-site events, and wedding-day transportation.
Build, manage, and maintain detailed transportation manifests and schedules.
Cross-check (“bump up”) transportation manifests against rooming lists to ensure guests are booked correctly based on confirmed resort stays and dates.
Identify and correct errors proactively (incorrect resort, wrong travel dates, missing flights, etc.).
Vendor & Destination Coordination
Work directly with transfer companies in each destination, including but not limited to Cabo, Cancun, Jamaica, and the Dominican Republic.
Secure group booking links when available, or coordinate bookings using a flight collector form hosted on the couple’s wedding website.
Confirm pricing, availability, vehicle types, and deadlines with transportation vendors.
Maintain clear documentation and confirmations for every booking.
Guest & Client Communication
Serve as the primary point of contact for transportation-related guest questions.
Check email daily and respond to inquiries within 24–48 hours.
Provide clear, professional instructions to guests regarding booking procedures, deadlines, and expectations.
Internal Team Collaboration
Work closely with assigned wedding coordinators, internal team members, and agency owner to align timelines and expectations.
Coordinate reminders to guests to book resort rooms and submit flight details.
Prepare and deliver the final transportation manifest to the assigned wedding coordinator and internal team by the required deadline.
Support wedding-week logistics as needed to ensure smooth arrivals and departures.
Required Skills & Qualifications
Extremely organized with strong spreadsheet skills (Google Sheets / Excel required).
Highly detail-oriented. Small errors in this role create major problems.
Ability to manage multiple weddings or groups at the same time without losing accuracy.
Strong written communication skills and professional email etiquette.
Comfortable working independently and managing deadlines without constant oversight.
Reliable internet access and availability during peak travel periods.
Preferred Experience
Experience in destination weddings, group travel, hospitality, or event logistics.
Familiarity with Mexico and Caribbean destinations strongly preferred.
Experience working with rooming lists, flight manifests, or group logistics.
Work Structure & Compensation
10–12 hours per week, on average
Work from home with flexible scheduling, provided email is checked daily
$20 per hour
Shoreline Destinations email address provided
Independent Contractor position
Important Notes
This role requires self-management, accountability, and precision. Training on systems and processes will be provided, but attention to detail is expected.
Hours may increase temporarily during peak wedding weeks or large group arrivals.
This position is not entry-level and is not suitable for someone who dislikes logistics, spreadsheets, or firm deadlines.
